About mddl

mddl sits at the intersection of policy influence, education and housing enablement. We exist to transform how North Americans live, build and shape their communities by putting people at the centre of middle housing. Our goal is to enable people to become middle housing entrepreneurs and give cities the systems they need to let them succeed. We work with community developers, government partners, industry and stakeholders to design practical, replicable projects that prioritize redevelopment of established communities.

You will work closely with the co-founders and have visibility across the entire business.

This role is ideal for someone who thrives on creating order, takes initiative, and finds satisfaction in making sure everything runs like clockwork. If you also bring bookkeeping skills to the table, that would be a significant asset, but it is not a requirement for this position.

    • Follow up on outstanding action items and ensure deliverables are on track
    • Prepare weekly operational summaries for the co-founders, including task status, flagged risks, and resource needs
  • HR & People Administration
    • Coordinate onboarding for new team members, including documentation, systems access, orientation, and first-month check-ins
    • Work with bookkeeping team to maintain employee records, track time-off balances, and ensure compliance with mddl's Employee Handbook and the Alberta Employment Standards Code
    • Serve as the first point of contact for time-off requests, HR inquiries, and policy questions
    • Support the performance review cycle including scheduling, document preparation, and follow-up tracking
    • Monitor and enforce timesheet submission, time-off procedures, and handbook compliance across the team
    • Coordinate benefits administration through BloomAdvantage and payroll processing
  • Event Planning & Coordination
    • Plan and coordinate company events, including team retreats, workshops, open houses, and community engagement activities
    • Manage event logistics end-to-end: venue sourcing, catering, AV setup, RSVPs, budgets, and day-of coordination
    • Organize mddl's participation in industry conferences, trade shows, and speaking engagements, including registration, booth setup, travel, and accommodations
    • Coordinate internal events such as team-building activities, lunch-and-learns, and seasonal celebrations
    • Maintain an events calendar and ensure timelines, deliverables, and post-event follow-ups are tracked
  • Business Development Support
    • Prepare and format presentation materials, pitch decks, and proposal documents for client meetings, partnerships, and funding opportunities
    • Track business development activities, travel schedules, and outreach efforts to maintain a clear picture of the pipeline
    • Support grant writing by coordinating timelines, gathering supporting documentation, and formatting submissions
    • Maintain a business development tracker to log meetings, follow-ups, and outcomes
    • Conduct research to support business development, grant applications, policy briefs, and co-founder initiative
  • Communications & Stakeholder Support
    • Serve as a professional first point of contact for external inquiries from partners, clients, and stakeholders
    • Support external communications including social media scheduling, website updates, and newsletter coordination
    • Manage incoming correspondence and the general inbox
  • Administrative & Leadership Support
    • Prepare, proofread, and format documents, reports, presentations, and client-facing materials in accordance with mddl brand standards
    • Handle confidential and sensitive information with professionalism and discretion
    • Provide direct administrative support to the co-founders, including meeting preparation, follow-ups, and research
    • Maintain organized records for contracts, agreements, insurance, and corporate filings
